A PDF form lands in your inbox. The sender wants it back today, and the printer is out of ink, or you are on a train with only a phone. Printing, writing by hand and scanning it again is the long way round. Most PDF forms can be completed on screen in a couple of minutes, and the finished copy looks neater than anything written with a pen. The one thing that trips people up is that there are two very different kinds of PDF form, and each needs its own approach. Here is how to tell them apart and fill both.
First, find out which kind of form you have
Open the PDF and click on a blank line where an answer should go.
- A box highlights or a cursor blinks. The form is fillable. It has built-in fields for text, checkboxes, radio buttons and drop-down lists. Many browsers also shade the fields in light blue or yellow.
- Nothing happens. The form is flat. It is just a picture of a page, which is typical for scanned paperwork, forms exported from Word without the form option, and older documents.

How to fill out a fillable PDF form
- Open Fill PDF Form and add your file. It is read in your browser, so nothing is uploaded.
- Click each field on the page and type. If you prefer, switch to the list view, which shows the same fields as a plain set of questions. That is far easier on a small phone screen.
- Tick checkboxes, choose one option in each radio group and pick values from drop-down lists.
- Read everything through once. Check names, dates and numbers against your documents.
- Click Fill and save PDF and download the completed form.
Tab moves you to the next field on a computer, and Shift+Tab goes back. Some fields limit the number of characters, such as a ZIP code or a two-letter state, so a long entry may be cut short. That is the form's rule, not a bug.
How to fill out a form that is not fillable
For a flat form, you place text on top of the page instead.
- Open Add Text to PDF and add the file.
- Click the spot where an answer belongs and type. Drag the box until it sits on the line.
- Use a plain font at 10 to 12 points so it matches the printed labels. Zoom in when you want to line up small boxes.
- For a tick box, add a capital X in its square.
- Save the PDF and download it.

Fill it out on a phone
A phone works, but a few habits make it painless.
- Use the list view in Fill PDF Form, so you are answering one question at a time instead of tapping tiny boxes.
- Set the phone to landscape when you do need to work on the page itself.
- Turn off auto-capitalize for fields such as email addresses, or check them afterwards.
- Pinch to zoom before you place text on a flat form, to land it exactly on the line.
On both iPhone and Android, the finished file ends up in your Downloads or Files app, ready to attach to an email or upload to a portal.
Typing, dates and checkboxes: small things that matter
- Follow the date format printed on the form. A US form usually wants month, day, year, for example 10/08/2026. Mixing day-first and month-first dates causes mistakes.
- Do not leave a required box blank. If a question does not apply, write N/A so the reader knows it was not forgotten.
- Use your legal name exactly as it appears on your ID when the form is official.
- Keep multi-line answers short. A text area that scrolls can hide the end of your answer once the form is printed.
Add your signature last
Signing is the final step, since a change after signing is awkward. Once the answers are right, open the filled copy in Sign PDF, draw or type your signature and drop it on the signature line. Save it, then check it
A form that looks right in one app can look empty in another, so a quick check is worth the minute.
- Save the file under a new name, such as Lease-Application-Jordan-Lee.pdf. Keep the blank original untouched in case you need to start over. See naming PDF files for ideas.
- Close it and open the saved file again, ideally in a different app or on another device.
- Scroll every page and confirm each answer is visible.
If the recipient should not be able to change your answers, tick Flatten the form before you save. Flattening turns the fields into normal page content, so they look identical everywhere. Keep the file small and the data private
Completed forms usually contain a name, an address and often an ID number. Send them with care.
- If an upload is rejected for size, run the file through Compress PDF. Our guide on why uploads get rejected lists the other common reasons.
- Prefer a secure portal to plain email. If you must email it, add a password with Protect PDF and share the password in a text message.
